Our trip planning process
Our planning process starts with a detailed questionnaire about your group, including interests, budget, and your “must see” or “must do” activities. Questions to learn more about your preferences in lodging and dining are also included. We will also inquire if any of your group members have special health, mobility, or dietary needs.
We will make suggestions about your trip timing based on what you most want to do, or can guide you with the best events and activities for your previously selected dates.
Once dates are selected, we will then craft and provide a detailed itinerary integrating activities, sightseeing, local events, and dining/lodging. We will ensure that your agenda includes insider local tips on the best hidden gems in Big Sky!
Next up will be a 30 minute phone call to review your agenda and to discuss any extra concierge requests. Once approved, we will then finalize and book your plans. We are also available for support both before and during your trip.

* Grocery stocking: Provide a list of grocery items you will need and they will be waiting at your accommodations on arrival. (Specialty ingredients not available in Big Sky stores may have an additional surcharge.)
** Welcome orientation: Your tour guide will come by your accommodations to meet your group, provide an overview of the area, and review all itinerary details (up to 60 minutes). Your guide can review details about trails, ski runs, or amenities in Big Sky. They will bring bear spray for you to have during your vacation and will discuss wildlife safety. (Bear spray rental is included in the cost.)
*** Parent night out: A CPR-certified child care provider will care for and play with 1-2 children for up to 3 hours at your accommodations so that you can enjoy a night out.
**** Gear rental: Need a specialty camera lens for Yellowstone? A backpack or a tripod? Let us know and we will provide cost for the rental during your vacation. (Some limited equipment is available during photo tours at no additional charge.)
Additional concierge services
Are you headed to Music in the Mountains and will need a blanket, chairs, and wine and cheese? Do you want to plan a special birthday event? Are you interested in adaptive sports or experiences for a child with special needs? Do you want to arrange a private chef?
We will recommend many of these services as we discuss your itinerary, but if there is something unique you are hoping for, please ask – we will try our best to help!
